What are the receiving requirements & penalties?

This article will outline the requirements that inbound shipments need to meet in order to avoid non-conforming fees, as well as the actions taken within the warehouse for each situation.

In order for a received shipment to be considered conforming, all of the following requirements must be met:



  • A unique ASN number or identifier is visible on the outside of every package in the shipment (this should have been entered when creating the ASN in the 'Client ASN Reference' or 'Client PO Number' fields).
  • The ASN has been in OWD's system at least 48 hours prior to delivery
  • The ASN is less than 60 days old
  • Each shipment contains a packing slip listing the contents of the shipment
  • Actual inventory "items" match what's on the ASN
  • All items are barcoded and barcodes are scannable by OWD's handheld scanners
  • Inbound pallets do not exceed a height of 7 feet

 

OWD will still receive shipments that do not have:

  • an ASN number or identifier visible on the outside of each package
  • an ASN older than 48 hours
  • a packing slip

A non-conforming fee will still be assessed for each occurrence. Please note, a non-conforming fee will be assessed for each inbound pallet exceeding the height limit.

Other than non-conforming fees, what happens when a non-conforming shipment arrives?

Inventory arriving without an ASN:

If OWD has no prior notification before a shipment arrives, the shipment will be received without an ASN and the customer will be assessed a "Blind ASN" service fee. Those fees will be applied for each shipment (i.e. if FedEx delivers five cases and UPS delivers three cases, that would be considered two shipments).

SKU misidentification without an ASN:

Without an ASN, there is an increased risk of a SKU being misidentified. Such errors will be the customer's responsibility, along with any work order time invested to correct the errors. If any inventory arrives without a SKU in OWD's system, a SKU and SKU description will be created.

Inventory does not match the ASN

OWD will complete the receive if able to identify products. Once all items are received, a blind ASN fee will be assessed.

If unable to identify items, the shipment will be moved over to the non-conforming lane. A non-conforming ticket will be escalated to the client and the customer will be assessed a non-conforming ASN fee.

Barcodes are not present/scannable

If there are no barcodes or if additional handling is required, the items will be moved to the non-conforming area and billed based on what is in your agreement for non-conforming fees (barcoding fees).
